Your Chekin account
On your first log in all your listings and bookings will be imported and you will get a message to sum it up:
First thing you have to do is go to the PROPERTIES section:
If status is “Incomplete” for some of them, click on the property and follow these steps:
Property information: complete any information missing from your property (this is needed to generate the guest registration form).
Police and Statistics Connection: In this section, add your Authorities account credentials in case you are required in your country to send data to Police and Statistics Institute. You will see in the section if a police login is available for your country. If yes, please add your police account credentials (in case you don't have them make sure to reach out to your local authorities as soon as possible to get an account) and enable the toggle to automatically send them guest data. In case you have more properties registered under the same account once you click on VALIDATE a new field called “Property” will be shown; there you have to pick the corresponding property in the Authorities website.
Online Check-in:
We suggest not to send the check-in form from Chekin.
Instead you can include the link to your BookingSync notification by following these steps:
- go to the Notifications App of your BookingSync account
- click on Edit the Smooth Check-in Notification
- Add the following code (by copy/pasting it) which will generate the “Chekin” button including a link to the form that guests need to fill for their online check-in (dates and number of guests will automatically be pre-filled thanks to sync of info between your Chekin and BookingSync accounts and the
booking ID
variable included in the link)
Code + text (please note that you are free to modify the text inviting guests to click on the Chekin button)

In case guests can’t click on the button and access the registration link for any reason, you can always copy the link from your Chekin account in the booking details and send it separately to your guests.
You are all set for benefiting and making your guests benefit from an automated online check-in !
Don't forget to click on SAVE CHANGES on your Chekin dashboard and make sure to add the settings described above for all your properties on Chekin (if you have multiple properties, please reach out to the support team at Chekin to check with them if they can apply the settings in bulk).
Guests registration
Please note that if it happens that your guests didn’t fill the online form, you can still register them on your Chekin dashboard.
First, you will have to look for the related reservation from the bookings page, click on it to see the reservation details (please note that only bookings with a check-in date in the future will be synced - any new booking will be automatically and immediately synced on Chekin)
Next, click on the “REGISTER GUEST” button, to add the first guest.
You can add guests data manually or by scanning the ID of the guests to capture the info in order to fill in the form:
Data will be sent automatically to the Authorities on the check-in date at 11:00 PM your country time; otherwise you can click on SEND MANUALLY in the Police (Check-in) pane to send the data at the time you want:
In the Booking status section within the specific booking you will be able to check if the guest has completed the Online Chekin (or if you did it), if data has been sent to the Authorities and which is the registration status, etc.
The registration form will be automatically generated and stored in the DOCUMENTS section, same for the contracts (information storage is GDPR compliant and information will be kept only during the legal time local authorities require hosts to keep information about their guests for).
Self Chekin
Another feature is also available upon request > the Self Chekin ! This feature automates the guest identification and triggers the remote access to your guests to your property if his identification is validated. By activating this feature, during the online registration, guests will be asked to take a selfie and a picture of their ID. Both pictures will be compared thanks to the biometric match technology used by Chekin. This feature might be very helpful if you can’t be available for an onsite check-in, also your guests might appreciate if you offer a full check-in procedure without any physical contact. This will also allow you to comply with some regulations which require the host to verify the guest's identity before giving access to properties! This feature can be connected to the sending of codes or instructions for remote access systems like smartlocks providers or key storage systems (if no direct integration is implemented yet between BookingSync and the Smart lock provider). This way, the code or instructions will only be sent after guests completed their online identification !

Please note that when clicking on Chekin app from your BookingSync account, if you already registered and in case you got logged out from Chekin, you don't have to do it again and you can directly go to their loggin page by clicking on the Chekin logo on the corner left.
How does the form my guests have to fill look?

Info like passport number and birth date will be synced back to your BookingSync booking:
If there is more than 1 guest, the form should be filled for each traveler.
