Please read carefully the instructions below in order to make sure your cancellation policies are displayed as expected on your Vrbo account: How does it work?
Make sure you create your cancellation policies on your BookingSync account settings, section Payments, and scroll down to Rental Cancelation Policy.
- Click on Manage Rental Cancelation Policy
- Add your policy as text (in all used languages)
- Add you Cancelation policy items - Note that this part is very important as this will be taken as the source to display on the Vrbo bookings page
- Don’t forget to add your cancellation policy in your Rental Agreement (under settings) - Note that this part is also crucial as it’s the ultimate legal source in case of dispute with your guests
- Go to your rental under Rentals and edit rental
- Click on Rental Cancelation Policy
- Add your policy as text (in all used languages)
- Add you Cancelation policy items - Note that this part is very important as this will be taken as the source to display on the Vrbo bookings page
- Don’t forget to add your cancellation policy in your Rental Agreement (under settings) - Note that this part is also crucial as it’s the ultimate legal source in case of dispute with your guests
To know about the Cancelation policy items
Cancellation policy items define the penalty percentage based on the booking's price for a given date range. For example adding 2 items: 30 days / 100% and 90 days / 30% means there's a 100% penalty when canceling bookings from 0 to 30 days before, 30% when canceling from 30 days to 90 days before, and 0% penalty when canceling before 90 days and more.
How does the cancellation policy appear on Vrbo?
Vrbo only receives your Rental Agreement in text form under settings > payments > Rental Agreement. It is therefore very important to include the text of the cancellation policy in your Rental Agreement. Your guests must approve your Rental Agreement as soon as they pay the deposit for their reservation by clicking on the corresponding box on Vrbo.
The cancellation policy items are displayed on your Vrbo rental page in a dedicated section.
Also, an important point :
Vrbo will “summarize” the cancellation policies. In other words, imagine you do have defined :
“50% penalty until 7 days before check-in”
“100% penalty within 7 days before check-in”
Vrbo will display :
50% refund until 7 days before check-in (letting the guest deduce that there’s no refund after such deadline).
There's a limit for the number of policy periods, we choose to send the strictest values ( only 3). So if you have items for 100, 80, 60, and 30 days, we will take items for 80, 60, and 30 days.
Let's see this example so its clearer; You choose to have this setup ;
Important; we have how much will be *charged* but Vrbo expects how much will be *refunded*.

10% refund if you cancel at least 1 day before arrival
10% refund - comes from 90% penalty percentage
1 day before arrival - means from 3 days(comes from next item) till 1 day before arrival -
50% refund if you cancel at least 3 days before arrival
50% refund - comes from 50% penalty percentage
3 days before arrival - means from 15 days(comes from next item) till 3 days before arrival -
75% refund if you cancel at least 15 days before arrival
75% refund - comes from 25% penalty percentage
15 days before arrival - means till 15 days before arrival, in this case, we don't have a "from" part since this is the last item (since we can send only 3), so we don't have a way to limit this one with the next item, 100% correct mapping would be from 30 days till 15 days

Moreover, they are also displayed on the booking summary on the time of reservation.
What is the delay of synchronization?
Once applied to your BookingSync account, your cancellation policies should be updated on your Vrbo account within 24 hours.
